Project Rollups
Project rollups are just totals. Task totals. Every task under a project or subproject has values that can be totaled up. These totals are at the project level, and are unofficially called rollups. An example might be totaling up the estimated duration of all tasks, and displaying that total on the project line. -
Timesheet Favorites
How to make your timesheet smaller: use timesheet favorites. Sometimes employees see too many projects in their timesheets. That makes it harder to find the project you're looking for. You scroll... you look.. you scroll some more. But with timesheet favorites you pick the projects you're working on now, and only see those. -
Quick Tasks for Time Tracking
There's a quick way to start and stop timers for time tracking. It's called Quick Tasks. Normal project tasks can be marked as Quick Tasks so they show in the timesheet and in the QT window. Each task in the QT window can be started with a single click. After clicking to start, do your task, and then click again to stop the timer. Your time is automatically put into the timesheet. -
Task Warnings to Keep Projects on Budget
Projects sometimes linger a bit too long. Employees camp out, or don't know the financial constraints, or forget. Task warnings keep tasks on schedule and on budget. Here's how: employees get a pop message when a task is nearing completion. They get another one when too much time has been entered, which prevents any further work. You set the percentages. -

Microsoft Project Integration

Effective Billing Rates
Your effective billing rate is on the Utilization Report. That report tells how much employees are utilized, using their scheduled hours. If they log time for every scheduled hour, then they are utilized 100%. But their effective billing rate depends on the percentage of billable hours verses non-billable. You can also see the effective billing rate for all employees combined. Very enlightening. -
Manufacturing Barcode Scanning
Did you know that you can scan barcodes to start and stop a timer? If you affix a barcode label to your products or work orders, you can tell how long they take in the manufacturing process. You'll get some secondary information as well. You'll see how many hours employees work just on those pieces. How long your projects take. And the kinds of jobs you do the most. -
Blocks of Support Time
Selling blocks of support time to clients is a winning proposition. Clients like it because they can call anytime. Consultants like it for the guaranteed revenue. So how does ST handle it? Easy... with project tasks. Create a new project task. Set the duration to the number of hours you agreed to. Set the percent warning for 75%. And finally, start timing your work. A popup will tell you when you're nearly complete so you can go back and renew the contract. -
Customize Client Invoices
Client invoices are simple RTF documents. You can edit them in MS Word or any other word processor. Just make sure to use the tags that display invoice data. Create multiple invoice templates to bill different clients, or to send invoices with different data. Add your logo and corporate style. -
DCAA Compliant Timesheet
If you're doing government contracting, you need a DCAA compliant timesheet. The Defense Contract Audit Agency has guidelines you should follow, such as: Employees need their own login ID and password. Employees must enter time for themselves, and not other employees. Client Login and ProjectBot
There is a special client login page that lets your customers see the status of their projects. They can also approve or reject time and expense records. Just give your client a special username and password. They can use this same information with an Android app named ProjectBot. -
Project Portfolios
A project portfolio is a collection of projects. What do you do with them? Here's what: Run reports on the entire collection. Compare portfolios. Search for employees with skills inside a portfolio. View project revenue for an entire portfolio of projects. Or see how much time is spent on each portfolio. -
Mileage Tracking
ST tracks mileage for tax purposes. Meaning, you can write off a certain amount on your taxes for every mile you drive. ST multiplies mileage times the tax rate to arrive at the final amount you can expense on your taxes. If you drive a lot for consulting or business this can add up to a significant amount. -
Email Notifications
Emails are sent from ST for a huge list of reasons. Examples are: When you've been assigned to new projects; when tasks are coming due or are about to start; when tasks hours have been exceeded; when your timesheet contains fewer hours than it should; or when you forget to submit your timesheet. Plus many others. -
Submit and Approve Timesheets
Timesheets can be submitted to managers so they know they are complete. The employee is certifying that the hours are correct. It's like signing your name, and can actually be used as an electronic signature. Managers can see which users have submitted timesheets, and which have not. Emails remind users when it's time. -
Timesheet Pay Periods
The ST timesheet can be configured to show pay periods instead of weeks. Many companies use the 1st - 15th, and the 16th - end of month for pay periods. You can now show those full pay periods in the timesheet rather than just a week. Learn more here.
